Submission/Evaluation Process

Thank you for your interest in submitting a proposal.  Below are instructions for submissions. You can also contact the AJS office by phone 917.606.8249 or email ajs@ajs.cjh.org, if you have any questions. A reminder: All graduate student proposals must be accompanied by an advisor evaluation form, due Monday, April 24, 2006. Forms can be faxed to: 917.606.8222.

Please Note:  To work optimally, the submission site requires Internet Explorer version 5.5 or higher, Netscape version 6 or higher, Mozilla, or Firefox. Each can be downloaded for free from the links provided.

A. Proposing a Session (Panel, Roundtable, Meeting or Seminar)
Session organizers are responsible for entering all data for the session.  This includes information regarding each session participant.  (Please note that this is in contrast to previous years, in which session participants could add their own information.)  Specifically, session organizers will need the following information in order to submit the proposal:

  • A session title and 350-word session abstract
  • Contact information, including name, position, institution, mailing address, e-mail address, and phone number for each participant
  • Payment information, including each participant’s payment contribution number (this is e-mailed once membership and conference payments have been made) and the amounts paid for dues and conference.  Please make sure all participants (presenters, chairs, respondents, and discussants) have paid online for their 2006-2007 Membership Dues and 2006 Conference Registration Fee before initiating the proposal.  The online system will not allow you to proceed if a participant is missing the contribution number.
  • Individual paper titles and 350-word abstracts (Please note: Session chairs, respondents, and roundtable discussants are not required to submit paper titles and abstracts.)
  • Audio-visual requests (each participant may request one piece of audio-visual equipment).

General Comments:

  • Traditional panels, seminars, and meetings can have up to five participants, including a maximum of four panelists presenting papers and a session chair OR a maximum of three panelists presenting papers, a respondent, and a session chair.
  • Roundtables can have a maximum of five discussants and a session chair.
  • All session proposals (panels, roundtables, seminars, and meetings) must include a chair.
  • A presenter cannot be a chair or respondent in the same session.
  • Each panelist’s membership dues and conference registration fees must be paid via the AJS’s secure server before a proposal can be submitted. Conference fees will be returned upon request if a session is not accepted.  Membership dues are not refundable.
  • Using your first and last name and password, organizers can edit their proposals anytime before the final submission deadline of *Monday, April 24, 2006*.
  • Audio-visual requests must be made at the time of paper submission; audio-visual equipment requested after the proposal deadline will incur rental fees.
  • Please make sure to contact the AJS office regarding any changes to panelists’ contact information.
  • No one may present more than one paper at the conference, although paper presenters may also serve as a chair, respondent or a discussant in another session with approval of the Program Committee.  Please make sure your session participants are aware of this policy.

B. Proposing an Individual Paper
If you are proposing an individual paper that is not part of a pre-organized session proposal, please be prepared with the following information:

  • Your contact and payment information (i.e., contribution number and amount paid for membership and conference)
  • Your paper title, 350-word abstract, and audio-visual request

General Comments:

  • No one may present more than one paper at the conference, although paper presenters may also serve as a chair, respondent or a discussant in another session with approval of the Program Committee.  Please make sure your session participants are aware of this policy.
  • Membership dues and conference registration fees must be paid via the AJS’s secure server before a proposal can me submitted.  Conference fees will be returned upon request if a proposal is not accepted.  Membership dues are not refundable.
  • Using the username and password, you can edit your proposal anytime before the final submission deadline of *Monday, April 24, 2006*.

C. Proposing a Poster Presentation (for Bible; Talmud; and Social Science, Anthropology, and Folklore Divisions Only)

If you are proposing a poster presentation to be included in a poster session, please be prepared with the following information:

  • Your contact and payment information (i.e., contribution number and amount paid for membership and conference)
  • Your project title and 350-word abstract

General Comments:

  • Membership dues and conference registration fees must be paid via the AJS’s secure server before a proposal can me submitted.  Conference fees will be returned upon request if a proposal is not accepted.  Membership dues are not refundable.
